Lavazza, Flavia and Costa Express workplace systems combine a coffee machine with a defined range of drinks, supplies and support, rather than leaving you to assemble everything separately. Flavia belongs to Lavazza Professional and uses sealed Freshpacks; Costa Express uses whole beans and fresh milk, while the wider Costa Coffee Professional range also includes capsule, bean-to-cup, traditional and kiosk machines.
In short
- Flavia is a Lavazza Professional system, not a separate competing coffee company.
- Lavazza Professional’s UK range includes BLUE capsules, Flavia Freshpacks and whole-bean machines. Firma is another Lavazza capsule system, so specify the format when enquiring.
- Costa Express is the familiar self-serve offer. Costa Coffee Professional covers a wider choice of workplace and commercial equipment.
- Compare the complete arrangement: ingredients, milk, cleaning, replenishment, maintenance and contractual commitments.
- Choose by actual attendance and peak demand, not the number of people on the payroll.
Who owns the systems, and what do they supply?
These are coffee-led systems: the coffee brand, equipment and supply arrangement belong in the same buying decision. That makes them different from choosing a machine first and then finding a coffee supplier independently.
Lavazza completed its acquisition of Mars’ coffee businesses, including Flavia and Klix, on 27 December 2018. The acquired business became Lavazza Professional. Coca-Cola completed its acquisition of Costa on 3 January 2019.

Lavazza professional systems: capsules, Freshpacks and whole beans
“Lavazza machine” is not a sufficiently precise specification. Ask which brewing system is being proposed, what ingredients it accepts and who will maintain it.
BLUE and Firma capsules
Lavazza Professional’s UK website lists BLUE capsule machines alongside its other workplace systems. Lavazza also markets Firma office capsules, but that does not establish that every Firma machine or supply package is available through the same UK channel.
When requesting a quotation, name the capsule system and machine explicitly. Ask the supplier to confirm approved consumables, the available coffee menu and how long it expects to support that format.
These systems are worth considering when individually portioned coffee is the priority. The trade-off to examine is dependence on the specified capsule format and supply arrangement.
Flavia Freshpacks
A Freshpack is a sealed ingredient pouch, not a rigid espresso capsule. Lavazza Professional explains that hot water brews the ingredients inside the pack and the drink flows directly into the cup. It describes this as preventing taste carry-over between drinks.
That mechanism matters where colleagues alternate between coffee, leaf tea and chocolate-based drinks. The UK range includes coffee, decaffeinated coffee and speciality drinks, alongside teas and infusions. Request the current machine-specific menu rather than assuming every Flavia product works with every brewer.
The published UK Creation 600 details offer a useful example. Lavazza says it can be tank-fed or plumbed in, and can froth dairy or dairy-free milk poured into the cup. Its page also lists a dried skimmed-milk Freshpack option. It is therefore misleading to describe this configuration simply as either “fresh milk” or “powdered milk”: the proposed recipes and working method need specifying.
Do not turn taste-separation claims into an absolute allergen guarantee. The Creation 600 user guide explicitly requires spills to be cleaned to prevent potential taste cross-contamination or allergen transfer.
Whole-bean machines
Lavazza Professional also supplies bean-to-cup machines calibrated for its coffee. Its published UK range includes both fresh-milk and granulated-milk configurations, with tabletop and freestanding options.
This is the route to investigate if grinding whole beans at the point of preparation is essential. For the broader equipment comparison, use our bean-to-cup brand comparison.
Costa Express versus the wider Costa Coffee Professional range
Costa Express is the touchscreen self-serve coffee offer familiar from public locations. Costa confirms that these machines grind coffee beans and combine them with fresh milk for drinks including espresso, latte, cappuccino and cortado.
However, an office enquiry should not stop at “Can we have Costa Express?” The broader Costa Coffee Professional portfolio contains several distinct formats:
- Podio: capsule-based equipment.
- Pacto: bean-to-cup equipment.
- Tempo: traditional equipment for skilled baristas.
- Alto: self-serve bean-based kiosks, including a hot-and-iced-drinks configuration.
These are not interchangeable answers to the same requirement. Tempo belongs in a staffed hospitality operation, not an unattended tea point. A kiosk needs a different space assessment from a countertop brewer.
The drinks and milk arrangements also vary by model. Costa’s published specifications include fresh-milk configurations, bag-in-box dairy and selected alternative-milk options. Do not assume a workplace machine reproduces every drink, milk choice or promotion available in a Costa shop.
Ask Costa to identify the exact proposed model and explain how it relates to the Express experience you recognise. That is more useful than relying on older equipment names or photographs.
How the supply model works
Separate the offer into three parts: equipment, consumables and service. Then establish which organisation is responsible for each.
Lavazza Professional publishes both fully managed and self-service arrangements. Its fully managed option includes stock management, refilling and cleaning; the self-service option puts more responsibility in-house. Confirm the division of work in your own proposal.
Costa says it does not sell Coffee Professional machines individually, instead offering them within a wider service package. Its FAQ gives a typical contract duration of 3 to 5 years, while stating that partnerships are assessed individually.
Neither description tells you everything you need to sign. Obtain itemised written quotations covering equipment provision, ingredients, installation, maintenance, cleaning supplies, replenishment and end-of-contract responsibilities. Our guide to UK office coffee machine suppliers explains how to assess the delivery organisation as well as the brand.
Pros, cons and which workplace each approach suits
The selection criteria here are drink preference, ingredient format, staff involvement, supplier dependence and service requirements. These are editorial assessments of the published system designs, not results from comparative machine testing.
Flavia suits a workplace seeking individually selected coffee, tea and speciality drinks. Its pack-to-cup brewing arrangement is a practical distinction when several drink types share one brewer. The limitations to examine are the approved pack menu, packaging collection and whether staff are comfortable inserting packs and following the milk procedure.
Lavazza capsules suit a coffee-focused tea point that prefers pre-portioned ingredients. Confirm the precise capsule system before committing. The main restriction is that changing coffee suppliers may be less straightforward than it would be with a machine accepting an unrestricted choice of whole beans.
A Lavazza whole-bean proposal suits a workplace that prioritises freshly ground coffee. Fresh-milk and granulated-milk configurations deserve separate demonstrations, because they create different replenishment and cleaning routines.
Costa’s wider offer suits organisations wanting a recognisable branded coffee service. Its range allows consideration of compact capsule equipment, automated whole-bean service or a larger kiosk. The disadvantage to examine is the package commitment: assess the contract and operating requirements as carefully as the drinks.
For any option, taste the drinks staff actually order. A pleasing espresso is not sufficient evidence that the proposed large milk drink will suit them.
Match headcount to daily cups and peak demand
Use attendance rather than total employment as the starting point. The following is an illustrative planning matrix, not a manufacturer’s capacity recommendation.
Assumptions: everyone shown is on site that day, each person takes two machine drinks, and visitor drinks are excluded.
| People on site | Assumed drinks per person | Calculated daily drinks | What to test |
|---|---|---|---|
| 20 | 2 | 40 | Meeting-time queues and refill frequency |
| 40 | 2 | 80 | Repeated milk drinks and waste-bin handling |
| 80 | 2 | 160 | Whether separate tea points would serve demand better |
The calculation is simply people present × drinks per person, plus visitors and other users. Replace the assumptions with your own attendance and consumption records.
Next, describe the busiest break to the supplier. Ask for a demonstration using that sequence of drinks, including any rinses, pack changes or replenishment. A daily total alone does not establish whether people will queue at the same moment.
Assessing cost per cup without a headline figure
Build the comparison around the complete service, not just the coffee ingredient.
For each quotation, record:
- Expected drinks per day, operating days and the black-coffee-to-milk-drink split.
- Coffee dose in grams, or the number of capsules or Freshpacks used by each recipe.
- Milk in millilitres per drink, chocolate and other ingredients.
- Equipment provision and contract term.
- Installation, servicing, filters, cleaning products and waste arrangements.
- Internal cleaning and replenishment time.
- VAT treatment and whether quoted figures include VAT.
To calculate your own cost per cup, add the attributable expenditure over one consistent period and divide by the number of drinks actually served. Include spoiled ingredients, discarded drinks and unused stock when assessing consumption.
VAT needs separating too. HMRC generally zero-rates coffee and milk supplied as food ingredients, whereas hot drinks supplied in the course of catering are standard-rated. Ask the supplier to identify the treatment of each quotation item rather than applying one assumption to the whole arrangement.
Contracts and installation: settle the details before signing
Request written answers on minimum purchasing commitments, ingredient exclusivity, substitutions, review clauses, renewal, cancellation and removal. Ask what happens if office attendance falls or the workplace relocates.
For servicing, distinguish response time from restoration time. Ask who supplies a replacement machine, what happens outside normal working hours and which consumables or maintenance tasks are excluded.
Have the proposed location surveyed. Request confirmation of water supply, filtration, drainage, electrical requirements, ventilation, access and the space needed for milk storage and consumables. Identify who empties waste, cleans spills and completes the prescribed cleaning routine.
With Lavazza, Flavia and Costa Express workplace systems, the useful final comparison is the exact machine, drinks and responsibilities offered to your workplace, not the badge alone.
FAQ
Can we change the coffee while keeping the machine?
Possibly, but obtain written confirmation before choosing the system. Flavia uses Freshpacks, while BLUE and Firma are specified capsule systems. For a whole-bean proposal, ask separately about technical suitability and contractual permission to change ingredients. A bean hopper does not itself establish freedom to use another supplier.
Does a Flavia machine eliminate cleaning?
No, Flavia equipment still needs cleaning and care. The Creation 600 user guide includes routine cleaning, spill removal, drip-tray and Freshpack-bin care, and filter maintenance. Brewing inside the pack is not permission to omit these tasks. Ask the supplier to demonstrate the full routine before allocating responsibility.
Is there one minimum daily volume for a Costa workplace system?
No single minimum should be applied across the whole Costa portfolio. Costa’s UK FAQ says operational and throughput requirements vary by location and solution. Provide actual attendance, visitor demand and peak-break requirements, then request written confirmation that the proposed equipment and commercial arrangement suit those conditions.
